Reserve a self-service room – Event support

You are organizing an event in one of HEC Montréal’s buildings and you want to use a self-service room. Here’s what to do.

To reserve these rooms in Outlook

  • Go to your personal calendar.
  • Double click New Meeting in the top left of the window, or double click in the calendar.
  • Give the event a Title.
  • Indicate the date and the start and end time of the reservation (for your convenience, reserve the room ½ hour before and after the event: 8:30 a.m. for an activity starting at 9 a.m.).
  • Enter the room name you would like to reserve in the Location field (including the word Salle. E.g., Salle DEC-06.261 ).
  • Click Scheduling Assistant in the top left of the window to check room availabilities.
  • Click Meeting in the top left of the window to make any adjustments (e.g., time, room).
  • Send your request.

 

If the reservation is confirmed

  • It will automatically appear in your personal calendar.
  • You will receive an email confirming that your request has been approved.

 

To request a room layout

The layout in certain rooms can be adjusted:

  • Salle CSC-04.448 (Esdras-Minville)
  • Salle DEC-06.257
  • Salle DEC-06.261
  • Salle DEC-06.265

Choose a room and find out what layouts are possible by emailing amenagement.evenement@hec.ca.

You can request a room layout once you have reserved a room. Just go to the Events portal – Demandes de services – Jira (in French).

 

To cancel a reservation

  • Open your Personal Calendar in Outlook or Teams.
  • Open the reservation.
  • Click Cancel in the top left of the window.
