Invitation

  • I'm a graduate. When and how will I receive the invitation?

The invitation is sent two months prior to the Convocation ceremony by email to your @hec.ca and your personal email (if one is indicated on your HEC en ligne).

 

  • I will not attend the Convocation ceremony. How can I obtain my diploma?

Letters of congratulations, not diplomas, are given during the Convocation ceremony. All diplomas will be sent by mail (address in your HEC en ligne account) six to eight months after the end of your program.

 

  • I will not attend the Convocation ceremony. Will I be invited to the next one?

No. You receive only one invitation per diploma.

Registration

  • Do I have to register to attend the Convocation ceremony?

Yes, during the registration period. Without registration, no seat will be assigned to you.

 

  • How do I know if I filled in the registration form correctly?

You will receive an automatic email from remisedediplomes@hec.ca  a few minutes after your registration.

If you also pay online, you will receive a second automatic email confirming your payment.

 

  • I forgot to register before the deadline, and I would like to attend the ceremony. What should I do?

Send an email to remisedediplomes@hec.ca as soon as possible.

 

  • I would like to correct some information I submitted in the form, but I no longer have access. What should I do?

Send an email to remisedediplomes@hec.ca with your student identification number and your program specifying the information to correct.

 

  • When I attempted to pay online, there was a problem and I can no longer access the payment platform. What should I do?

To obtain payment information, send an email to remisedediplomes@hec.ca indicating your student identification number and program.

 

  • I registered but I have to cancel my participation. What should I do?

Inform Student Services as soon as possible by sending an email with your student identification number and program to remisedediplomes@hec.ca .

Graduation ceremony tickets for graduates and guests

  • How do I obtain tickets for my guests and myself? How much are they?

You have to complete the registration form specifying the number of guests and make the payment. Three weeks prior to the ceremony, the tickets will be sent by mail to the address indicated on the registration form.

The graduation ceremony tickets are free and guest tickets cost $45 each. Children under 2 years can attend for free.

 

  • I have more than 4 guests. How can I obtain more tickets?

You can indicate this information on your registration form if you know in advance. If not, send an email to remisedediplomes@hec.ca.

After the registration period, if there are still places available, we will attribute them on a first-come, first-served basis.

 

  • There are children, elderly people, or people with special needs among my guests. What can I do to accommodate them and avoid any disturbance during the ceremony?

If you know in advance, you can indicate this information on the registration form. If not, send an email to remisedediplomes@hec.ca

Remember there are no child care facilities on site. Children must be accompanied by at least one adult other than the graduate as graduates will not be seated with the guests.

 

  • The ceremony is this week and I have not received my tickets or I cannot find them. What can I do?

You will not be able to enter the Convocation venue without the tickets. When you arrive, go to the welcome desk to obtain duplicates.

Guests will have to mention the graduate's name to obtain the duplicates.

 

  • Are places assigned or can we choose our seats?

Yes, places are assigned for both graduates and guests.

Graduate seats are assigned based on the program and on the sequence in which graduates go on stage. In the case of a graduate exchanging a ticket, he or she will not be allowed to appear on stage.

Any guest tickets which are exchanged (due to loss of a ticket) after having been mailed out, will not be duplicated.

Ceremony

  • My guests want to approach the stage to take some pictures of me. Is this permitted?

No. The logistics involved in such a ceremony, as well as the limited size of the room, make approaching the stage problematic; however, guests may film or take photos from their seats.

HEC Montréal hires a professional photographer to capture the passage of each graduate on stage. All pictures will be available for purchase a few days after the ceremony.

 

  • When can I pick up my cap and gown?

Upon your arrival at the Convocation, you will be directed to pick up your cap and gown upon presentation of your graduate ticket. Remember that the gown is open, so what you wear will show.

Please remember to return your gown before you leave or you will be billed for the full value.

 

  • Am I permitted to arrive with a purse or a backpack?

The coat check does not accept bags of any type and bags cannot be carried during the ceremony. They must be left with your guests.

 

  • Can I leave the Convocation Hall after my passage on stage?

Out of courtesy to all the graduates, we ask that you and your guests remain seated for the entire ceremony.
